Trying to "Add a user-defined field you have already created"

and although I have created some, the option is greyed out and cannot be
accessed. I have created a drop down list with many items in it that I want
to add multiple times without haveing to recreate it each time.
Any suggestions on how this function works

Basically, I dial from contacts, make a journal entry, hang up and
ctrl-shift-G schedule follow up. It would be great if I could view those
